Itella Corporation's electronic recruitment system

4. Purpose of processing of personal data

The primary purpose of processing personal data is to enable the recruitment IT system of Itella Group (hereinafter Itella). The register contains personal data of those logged into the recruitment system of Itella (in-house applicants) and those registered with the system (outside applicants - physical persons).

Personal data is processed for the following purposes:

  • To inform applicants of vacancies at Itella.
  • To receive applications, as an employer, for vacant jobs.
  • To search the applicant database for suitable candidates for vacancies.
  • To transact with applicants by sending information on the various stages of the application process and requesting supplementary information from applicants if necessary.
  • To prepare summaries of information provided by applicants in order to assist in decision-making.
  • After recruiting an employee for a vacancy, other applications received will be transferred to an archive to be retained for two years after the end of the application process.

Registered persons are entitled to lock their personal profiles. In such cases, the information on the person is not available for recruiting purposes.

5. Data content of the data file (group(s) of those registered and related information or information categories)

 

Itella Corporation's recruitment system contains the following information:

  • Firstname and lastname
  • E-mail address
  • Gender
  • Date of birth
  • Telephone numbers (home, office, mobile)
  • Street address, country, area, locality, postal code
  • Information on work experience
  • Information on education
  • Information on the applicant's qualifications (driver's licence, language skills, liability for military service, experience at Itella)
    Attachment files (e.g. a CV, photograph)
  • The applicant's preferences for the job required
  • Preferred language for correspondence
  • Free-form application text and further information
  • Information related to the progress of the recruitment process and selection
  • For in-house applicants in Itella, information on employment with Itella: Itella ID number, first and lastname, e-mail address, address information, telephone numbers (office, home) and information on reassignment

By logging in, applicants can view, alter and delete information they have provided themselves. In-house applicants cannot alter their personal, address or communication information within the system.

6. Regular sources of data

  • Information on the applicant is provided by the applicant. Applicants are allocated a username and password for the system, which allow the completion of application and the maintenance of personal applicant data.
  • Information on the recruitment process, interviews, assessments and selection are entered in the system by an HR expert (recruiter) employed by Itella, or a supervisor
  • With respect to in-house applicants in Itella, information on employment with Itella is transferred from the Itella's personal data system.

7. Regular destinations of disclosed data and transfer of data to countries outside the European Union or the European Economic Area

Data is disclosed only in compliance with laws, regulations and instructions issued by the authorities.

Applicant summaries used for decision-making purposes in recruitment are compiled from data on registered applicants.

Data will not be disclosed to parties outside Itella Group.

8. Data file protection principles

A. Manually supplied material

Personal data is entered in the system on manually supplied applications.

B. Data saved in IT systems

Requirements for using the recruitment IT system include a username, password and e-mail address both for the applicant and the employee using the Itella's system.

Data protection in compliance with the information security principles applicable at Itella.

9. Right of access

In accordance with Section 26 of the Personal Data Act, every person has a right of access in order to check the data saved on him/her in the recruitment IT system. A request for checking data must be submitted in writing, with a signature, to the representative of the Controller, or can be made in person at the address given above.
